1. Scope
This policy applies to business purchases of battery cells and battery packs from Dongguan Huanhuan Energy Technology Co., Ltd. It should be read together with our Terms & Conditions. Nothing in this policy limits any statutory right that cannot be excluded by law.
2. Inspection Window
Please inspect your shipment on arrival. If goods are defective, damaged, or differ from the specification confirmed on the proforma invoice, contact us in writing within 7 calendar days of delivery. Claims received after this window cannot normally be accepted, because we can no longer establish whether the issue arose in transit, in storage or in use.
3. When We Accept a Return or Claim
- The item is not what was ordered — wrong model, capacity, voltage or connector.
- The item is dead on arrival, or its measured capacity or internal resistance falls outside the tolerance stated in the datasheet.
- The item was damaged in transit and the damage was noted and photographed at the time of delivery.
- The item fails within the 12-month warranty period due to a manufacturing defect.
4. When We Cannot Accept a Return or Claim
- Custom and OEM/ODM orders produced to your specification, including custom dimensions, tabs, connectors, BMS settings, labelling or branding.
- Damage caused by over-charging, over-discharging, reverse charging, short circuit, or use outside the voltage, current and temperature limits in the datasheet.
- Physical damage after delivery: crushed, punctured, swollen, water-damaged or burned cells.
- Unauthorised disassembly, modification, spot-welding directly on the cell body, or repair by a third party.
- Normal ageing — gradual capacity fade and increasing internal resistance over charge cycles.
- Change of mind, over-ordering, or a project that was cancelled by the Buyer.
- Storage in a humid, condensing or high-temperature environment, or beyond the storage period stated in the datasheet.
5. A Note on Returning Lithium Batteries
Lithium cells and packs are regulated dangerous goods. Many couriers will not accept loose cells for return, and air transport is restricted. This means a physical return is often neither safe nor economic, particularly for small quantities.
In most cases we therefore resolve approved claims by replacement or credit rather than a physical return. Where a return is required, we will advise on a compliant carrier. Please do not send batteries back before receiving a return authorisation from us — unauthorised shipments may be refused or destroyed by the carrier, and we cannot take responsibility for goods we did not agree to receive.
6. How to Make a Claim
- Email mayliu@huanhuanpower.com within 7 calendar days of delivery.
- Include: order or proforma invoice number, product model and quantity, batch code from the cell label, a description of the problem, and photographs or a short video showing the issue.
- Include measurement data where relevant (capacity test, voltage, internal resistance) and the test conditions used.
- We will acknowledge within 2 business days and complete our assessment within 7 business days. We may ask for additional tests or for samples to be returned for analysis.
- If the claim is approved, we issue a return authorisation (RMA) number or a resolution directly.
7. Remedies
For an approved claim we will, at our option: replace the affected items in the next production batch, issue a credit against a future order, or refund the invoiced value of the affected items. Where only part of a shipment is affected, the remedy applies to that part only.
We do not compensate for consequential losses such as lost flight time, lost contracts, downtime or damage to third-party equipment.
8. Refunds
Approved refunds are made within 7 business days of approval, using the original payment method. Bank charges, intermediary fees and currency conversion differences are not refundable.
Where a refund relates to goods already delivered, we may deduct the outbound freight cost and any duties or taxes that we cannot recover.
9. Who Pays Return Freight
If the claim is our responsibility — wrong item, manufacturing defect, damage caused before dispatch — we cover the cost of the compliant return and the replacement shipment.
If the return is for any other reason accepted at our discretion, the Buyer bears the return freight, insurance and any duties.
10. Warranty vs Returns
Returns deal with goods that are wrong or faulty on arrival. Warranty deals with manufacturing defects that appear during the 12-month warranty period. Both start with the same claim process described in section 6.
